A problem is only called a "problem" until we find a solution.
Some of us refuse to recognise problems and some of us choose to ignore problems in the hope that the issue will sort itself out, or that it will simply disappear.
Ignoring or not recognising a problem does not mean that the issue or problem does not exist and this attitude does not bring any solutions, but rather inflates the issue over time.
Hopefully the following tips on how to solve problems will help you to tackle issues head on:
1. Identify the problem - or in other words, recognise the problem.
It also means you have to admit what it is that you see happening. Make sure you are focused on the problem and not the symptoms.
For example:
A large group of staff arrive late to work every morning. One of the possible symptoms could be that productivity is slower and goals are not met.
2. Collect the information by keeping a track record over time.
Also ask other role-players to help you with the process if necessary. For example, get the production manager involved and get the right statistics.
Speak to frontline people to help you with a time register.
3. Identify possible causal factors.
What conditions play a role in this occurrence? For example does this happen more in winter than during the other seasons? Does it happen only on certain days? Can transport problems be the cause of this?
Is there a certain sequence of events that can be responsible for this occurrence?
For example:
Does this happen when there is too much work and people feel stressed and possibly overwhelmed?
Does this happen when there is not enough supervision?
Does this happen when the staff are possibly unhappy about something?
This analysis would bring you to WHY this problem is happening….
4. Now do a cause and effect analysis.
This exercise will include the symptoms of the problem and will also help you to see the necessity of finding a solution.
5. Start to look for possible solutions.
Get options from other role players. Look at the possible risks of all the solutions.
6. Decide on a collaborative solution.
7. Get feedback after a certain period to make sure that the problem is really resolved.
