1. Ensure that your business writing skills are good.
As the secretary your job requires constant communication with your bosses, clients, co-workers and other companies, and every email or business letter you send is a representation of your organisation, so try to make sure your sending the right message.
2. Punctuality.
Being late for work or meetings in this line of work is unacceptable and reflects very poorly on the entire company, so don't let it happen! Nothing will tick off your boss quicker than not showing up when you're supposed to.
3. Synchronise your diaries.
Make sure your diary matches your boss's diary to the T and be sure to keep them both up to date. Using a programme like Microsoft Outlook can be useful for this function.
4. Always be prepared for questions.
When attending meetings etc. you should always anticipate what questions might come up - and have those answers at hand. Nothing says "efficient secretary" like someone who has all the answers ready and waiting.
5. Compliment people.
One thing you can always do is send people on their way with a smile - you should try to always let the people who visit your company or offices leave feeling good about themselves. This can easily be achieved with a simple compliment.
